Remem Inc. (doing business as “Buddi,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, share, and protect information when you or your organization use the Buddi wearable device, mobile and desktop applications, web dashboards, APIs, and related services (collectively, the “Services”), or when you visit our websites at getbuddi.ai and business.getbuddi.ai (the “Sites”).
Buddi is a business productivity platform. Our Services are designed primarily for organizations that deploy Buddi to their employees, contractors, or authorized personnel (“Authorized Users”) to capture and organize field conversations, generate summaries, and deliver insights that improve sales performance and customer interactions.
1. Scope of This Policy
This Policy applies to:
- Visitors to our Sites
- Organizations that purchase or evaluate our Services (“Customers”)
- Authorized Users who use the Buddi device and applications on behalf of a Customer
- Individuals who communicate with us through sales, marketing, or support channels
If you use Buddi through your employer or another organization, that organization is typically the controller of data generated through your use of the Services. Your organization’s own privacy and workplace policies may also apply, and those policies, together with your employment agreement, govern your relationship with the Customer.
2. Information We Collect
2.1 Information You or Your Organization Provide
When a Customer signs up, purchases a subscription, or provisions Authorized Users, we collect:
- Account details: company name, business address, billing contact, tax information, and administrator credentials
- User profile information: Authorized User name, work email, phone number, role, team assignment, and manager
- Payment information: processed by our payment provider; we store limited billing metadata only
- Communications: messages you send to our sales, support, or success teams, including email, chat, and call notes
2.2 Information Captured Through the Buddi Device and Applications
When an Authorized User is active on the Services, Buddi may collect:
- Audio recordings captured by the Buddi pendant during business activities, including customer meetings, field visits, and sales conversations
- Transcripts generated from those recordings
- Summaries, action items, coaching insights, and other derived content produced by our AI models
- Metadata such as recording timestamps, duration, location (when enabled by the Customer), and device identifiers
- Contact and calendar references linked to recordings, where connected by the Authorized User or the Customer’s administrator
2.3 Device and Technical Information
We automatically collect information about the devices and networks used to access the Services:
- Device model, operating system, application version, and firmware version
- IP address, general geographic region, browser type, and language settings
- Crash reports, diagnostic logs, battery and connectivity status, and performance metrics
- Identifiers such as installation IDs, advertising IDs (where applicable), and session tokens
2.4 Usage Information
We collect information about how the Services are used, including pages viewed on our Sites, features accessed, actions taken, search queries, and engagement with notifications and emails.
2.5 Information From Third Parties
We may receive information from:
- Authentication providers when you sign in
- CRM and productivity tools when a Customer connects them
- Integration partners used by the Customer
- Data enrichment providers for business contact and firmographic data
- Publicly available sources such as LinkedIn and company websites for business development
2.6 Cookies and Similar Technologies
Our Sites and web applications use cookies, local storage, and similar technologies for authentication, security, preferences, analytics, and measurement. You can manage cookie preferences through your browser settings; disabling certain cookies may limit some functionality.
3. How We Use Information
We use information to operate, support, and improve the Services, including to:
- Provide, maintain, and secure the Buddi device, applications, and integrations
- Transcribe, summarize, analyze, and index captured conversations for the Customer
- Generate coaching insights, performance analytics, and recommendations for the Customer’s administrators and managers
- Enable search, retrieval, and conversational interfaces across captured content on behalf of the Customer
- Authenticate users, provision accounts, and manage subscriptions and billing
- Provide customer support and respond to requests
- Develop new features, test performance, and diagnose issues
- Train, evaluate, and improve the machine learning models and retrieval systems that power the Services, using Customer data only in accordance with the terms of the Customer’s agreement with us
- Send transactional communications about the Services (for example, from noreply@updates.getbuddi.ai)
- Send marketing communications to business contacts about Buddi and related offerings, subject to applicable law and your preferences
- Detect, investigate, and prevent fraud, abuse, and security incidents
- Comply with legal obligations, enforce our agreements, and protect our rights, property, and users
4. How We Share Information
Buddi does not sell personal information. We share information only in the following circumstances:
4.1 With the Customer
Content generated by an Authorized User through the Services — including recordings, transcripts, summaries, and analytics — is made available to the Customer organization that deploys Buddi, consistent with the Customer’s configuration and role permissions. Administrators, managers, and other users within the Customer’s account may access that content based on the Customer’s settings.
4.2 With Service Providers
We share information with vendors that help us operate the Services under written agreements that limit their use of the information to the services they provide to us. These include:
- Cloud infrastructure and storage providers (for example, Google Cloud)
- Speech-to-text, language model, and AI inference providers used to process audio and text
- Analytics, observability, and crash reporting providers
- Customer support, CRM, and communications platforms
- Payment, billing, and tax providers
- Email delivery and marketing platforms
4.3 With Integrated Services
When a Customer or Authorized User connects a third-party service (such as a CRM, calendar, or sales platform), we share information with that service as needed to provide the integration. The third party’s use of that information is governed by its own privacy practices.
4.4 Business Transfers
If Buddi is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction. We will require the receiving party to honor this Policy or notify affected parties.
4.5 Legal and Safety
We may disclose information when we believe in good faith that disclosure is necessary to: comply with applicable law, regulation, legal process, or government request; enforce our terms and agreements; protect the rights, property, or safety of Buddi, our Customers, users, or the public; or investigate and address fraud or security issues.
4.6 With Your Direction
We may share information at the direction of a Customer administrator or an Authorized User, for example when sharing a summary, exporting data, or posting content to a connected tool.
4.7 Aggregated and De-identified Information
We may create and use aggregated or de-identified information that cannot reasonably be used to identify an individual or organization. This may include benchmarks, usage trends, and research outputs.
5. AI and Automated Processing
The Services rely on machine learning models for transcription, summarization, retrieval, and analysis. Outputs generated by these models are probabilistic and may contain errors. Customers and Authorized Users should review AI-generated content before relying on it for important decisions. We continuously work to improve accuracy, reduce errors, and strengthen the safeguards around model development.
6. Data Retention
We retain information for as long as needed to provide the Services, meet legal and contractual obligations, resolve disputes, and enforce our agreements.
- Customer content (including recordings, transcripts, summaries, and associated metadata) is retained according to the retention settings configured by the Customer and the terms of the Customer’s agreement with us.
- Account and billing records are retained for the duration of the subscription and for a reasonable period afterward to meet tax, accounting, and legal requirements.
- Logs and diagnostic data are retained for a limited period for security, debugging, and performance purposes.
- Marketing and sales records are retained while a business relationship or lead is active and for a reasonable period afterward.
When retention periods end, we delete or de-identify the information in accordance with our internal standards.
7. Data Security
We maintain administrative, technical, and physical safeguards designed to protect information, including encryption in transit and at rest, network isolation, access controls, logging, vulnerability management, and secure development practices. Access to Customer content is limited to authorized personnel with a need to access that information.
No system is perfectly secure. If we learn of a security incident that affects your information, we will notify you and take appropriate steps consistent with applicable law and our obligations to the Customer.
8. Where We Process Information
Buddi is based in the United States, and our Services are intended for business use by organizations in the United States. Information is primarily stored and processed in the United States, though some of our service providers may process limited information in other countries where they operate. We use reasonable safeguards to protect information wherever it is processed.
9. Your Choices and Rights
Depending on where you live and your relationship with Buddi, you may have rights in relation to your information, including the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Request deletion of certain information
- Object to or restrict certain processing
- Receive a portable copy of your information
- Opt out of marketing communications
- Withdraw any prior authorization for specific processing where applicable
How to exercise rights. If you are an Authorized User deployed by a Customer, please direct most requests about your workplace data to your Customer administrator, who controls that data. For other requests, or if your Customer is unable to assist, contact us at privacy@getbuddi.ai. We will respond within the timeframes required by applicable law and may need to verify your identity before acting on a request.
Marketing opt-out. You can unsubscribe from marketing emails using the link in any such message or by contacting us. Transactional messages about the Services will continue.
10. U.S. State Privacy Disclosures
Depending on your state of residence (including California, Virginia, Colorado, Connecticut, Utah, Texas, Oregon, and other states with applicable privacy laws), you may have rights described in Section 9, including the right to access, correct, delete, or obtain a portable copy of your personal information, and to opt out of certain processing.
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising or targeted advertising, as those terms are defined under applicable U.S. state privacy laws.
If you are an Authorized User deployed by a Customer, most rights relating to your workplace data are directed to and fulfilled by the Customer, which acts as the controller or business with respect to that data. We will support the Customer in responding to your request.
To exercise a right, contact us at privacy@getbuddi.ai. We will respond within the timeframes required by applicable law. You may also appeal a decision we make about your request by replying to our response or contacting us at the same address. You have the right not to receive discriminatory treatment for exercising your rights.
11. Third-Party Sites and Services
Our Sites and Services may link to or integrate with third-party websites, platforms, and services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before engaging with them.
12. Changes to This Policy
We may update this Policy from time to time. When we make material changes, we will update the “Last Updated” date above and, where appropriate, provide additional notice through the Services or by email. Your continued use of the Services after an update means that you are operating under the revised Policy.
